Generate a Full Overview
The Full Overview is the comprehensive day-by-day breakdown — every scene, every element, every note, in one document. Directors, producers, and ADs use it as the master scheduling reference. This article covers generating it, tailoring which fields show, and exporting.
The Full Overview first shows a read-only preview of the current schedule. Select Sync from Schedule to save a version whose cells you can edit and export. That saved version stays unchanged until you use Refresh Data. See Reports you save and reports that stay current.
Before you start
- You have a scenario that is active or locked in the Schedule section. Without one you see “No schedule data available — Lock a scenario to generate the schedule.”
- Members, Admins, and Owners can view the complete preview and saved report. Viewers cannot see the card, route, snapshot, shared report, or download. Syncing, refreshing, editing, managing variations, and exporting require the Admin role.
Generate the schedule
- Open Reports and select the Full Overview card.
- The schedule renders from the active scenario as a read-only preview.
- To freeze it into an editable, exportable document, select Sync from Schedule in the side panel. Edits collect in a floating save bar at the bottom; save them there.
What is on the page
Organized by day, the schedule shows non-shooting day banners (travel, prep, hiatus). Each scene has its own detail block with the day’s total page count. Depending on Display Settings, it includes:
- Scene heading — number, INT/EXT, day or night, Set, page count, status badge.
- Synopsis — the scene’s summary (the same one you write on the breakdown).
- Departmental requirements — Cast, Extras, Props, Wardrobe, Make-up and Hair, and Vehicles. Additional breakdown categories use your project’s labels and order. Empty groups are omitted. Scene-specific quantities appear beside requirements; featured extras remain distinguishable from background extras.
- Sets and Locations — the in-story Set and the linked filming Location, including its address when available.
- Estimated duration, call time, start / wrap estimates, and setups — production timing fields.
- Notes — breakdown, schedule, call-sheet, and advance-schedule notes. Enabling Notes also shows each requirement’s scene-specific instructions.
- Weather — captured sunrise and sunset information and weather contingency notes when enabled and available.
Long descriptions and requirement lists continue onto additional pages with the scene heading repeated. The report header shows total scenes and total pages.
For Admins and Owners, short saved fields remain editable on the page. Selecting a description that spans several blocks opens an editor containing the complete description. These edits use the same floating save bar as other report edits.
Tailor which fields show
The Display Settings section in the side panel controls which fields render on every scene, including Elements, Status, Estimated Duration, Call Time, Start / Wrap Estimates, Camera Setups, Notes, Weather Info, Sunrise / Sunset, and Synopsis. Use this to tailor the schedule to the audience — directors usually want everything; locations or transport may prefer a stripped-down view.
Hiding local notes or timing fields does not remove them from a new saved report. You can reveal them later with Display Settings. Older saved reports may lack these details; select Refresh Data to capture them. Saved reports never pull new upstream values merely because you open them or change a display setting.
Export
The side panel shows Export PDF, which downloads the saved version with the same departmental sections and display settings. Long scene blocks repeat their headings across pages. CSV and Excel exports through the report API retain their existing columns and add departmental requirements, Location details, and note fields.
Manage Full Overview variations
Each scenario can hold multiple Full Overview variations — useful when preparing different document versions for stakeholders. The version picker at the top of the canvas shows the active variation and a Manage button.
Inside Manage variations, you can create an Empty draft, Copy active variation, or start with the latest schedule using Fresh snapshot from upstream. You can choose the primary variation and rename or delete any variation that is not active. Editing or refreshing one variation does not change the others. The first sync creates the active Main variation.
